Summary/Objective

A Marketing Operations Specialist is a key player in the smooth execution of a company's marketing operational projects. This position involves improving the efficiency of marketing operations, ensuring projects are delivered on time, within budget, and to the desired quality. They work closely with marketing teams, IT, sales, digital, retail and external vendors to streamline workflows and projects. The role requires a mix of project management, marketing technology (MarTech) expertise, data analysis, and communication skills.

Job Responsibilities

  • Project Management: Support planning, initiating and managing marketing operations projects across all business units to ensure projects are completed on time, within budget, and meet quality standards. Use project management tools to track progress and report on milestones.

  • Campaign Support: Support the development and implementation of marketing campaigns through operational best practices.

  • Technology Assistance: Assist the Technology manager with the administration of marketing technology tools and platforms to optimize marketing efforts.

  • Process Optimization: Analyze and optimize marketing processes and workflows for efficiency and effectiveness. Identify bottlenecks and recommend improvements to streamline operations.

  • Vendor and Stakeholder Relations: Coordinate with vendors, service providers, and internal stakeholders to ensure smooth operation of marketing activities.

  • Training and Support: Provide training and support to marketing team members on new processes, tools, and technologies. Foster a culture of continuous improvement and learning.

  • Budget Assistance: Help monitor and track marketing budgets, ensuring accurate invoicing and record-keeping.

  • Compliance and Best Practices: Ensure marketing operations comply with industry standards and company policies. Stay informed about marketing best practices and regulatory requirements affecting marketing operations.

Knowledge, Skills, Abilities

  • Proficiency in project management software (e.g., Asana, Smartsheets, JIRA) and MAP systems (e.g., Marketing Cloud, Klaviyo ).

  • Strong communication and interpersonal skills, with the ability to work effectively across different teams and manage stakeholder expectations.

  • Strong understanding of marketing principles, digital marketing strategies, and marketing technology platforms.

  • Ability to manage resources effectively and foster a collaborative environment.

  • Detail-oriented with strong organizational and time-management skills.

  • Ability to work independently.

Education, Certification and Experience

  • Bachelor’s degree in marketing, business administration or related field of study.

  • Minimum of 3 years of experience in a related field.

  • Experience in live events, sports, media and/or entertainment

  • Experience in cheerleading, dance, or performing arts a plus

  • Knowledge of IT process and terminology

  • Experience with CRM systems (e.g. Salesforce)

  • Certifications in project management (e.g., PMP, Agile) or marketing technologies (e.g., Salesforce, Klaviyo).

  • Experience with SQL and data visualization tools (e.g., Tableau, Power BI).

  • Knowledge of data privacy laws (e.g., GDPR, CCPA) and their impact on marketing operations.

Physical Demands and/or Work Environment

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This job operates in a professional office environment. Largely a sedentary role requiring ability to operate a computer and technology on a daily basis.

Travel

Travel requirements are limited, although some out-of-the-area and overnight travel may be expected. This may include attending events at various locations, visiting other Varsity Brands locations or offices for meetings or customer / vendor visits required to meet business objectives or gain business familiarity.
