Job Description

The Associate III – Donor Account Processing is responsible for ensuring the accuracy, completeness, and integrity of ALSAC’s donor data. This role maintains adherence to established data integrity standards, reconciles production and vendor files, and ensures all upload files are posted accurately and on time. The position requires exceptional attention to detail, strong technical skills, and the ability to independently prioritize daily processing tasks in a fast-paced environment.

Essential Job Functions

1. Donor & Volunteer Communication (Service)

  • Communicates effectively with donors, volunteers, and employees regarding tributes and account inquiries.
  • Applies active listening, interpersonal communication, and independent judgment to gather complete and accurate information.
  • Gathers data needed to complete transactions and account updates.
  • Supports multiple programs and fundraising initiatives simultaneously.

2. Donor Data Integrity & System Management (Data Integrity)

  • Enters, updates, and maintains donor account information using multiple systems and applications.
  • Navigates proficiently within ALSAC’s proprietary CRM and related platforms.
  • Documents donor and volunteer interactions, notes, and transactions thoroughly.
  • Ensures PCI compliance and adherence to ALSAC policies and procedures.
  • Upholds the highest standards for data accuracy and confidential communication.

3. Donor Experience

  • Delivers a superior donor experience during every interaction, including handling transactions.
  • Reflects ALSAC/St. Jude’s core values and strengthens donor loyalty.
  • Maintains in-depth knowledge of multiple programs, processes, and systems to support donor needs.

4. File Reconciliation & Reporting

  • Reconciles upload files by comparing received data to what is posted in the donor database.
  • Provides daily batch processing updates to management and escalates delays as needed.
  • Creates and updates reports to support processing and reconciliation.

5. Issue Resolution & Cross-Functional Support

  • Independently researches and resolves donor account issues promptly.
  • Coordinates with internal departments, banking partners, and external vendors as needed.
  • Uses SQL queries, when required, to identify and resolve data discrepancies.
  • Takes initiative to correct issues and ensure data accuracy.

6. Workflow & Priority Management

  • Prioritizes tasks and deadlines to ensure timely posting of pledges and donations.
  • Completes daily upload files and consistently meets departmental processing time standards.

7. Systems Testing & Process Improvement

  • Participates in testing new processes, systems, and enhancements.
  • Updates documentation and procedures in alignment with organizational or technology changes.

Job Requirements

  • Ability to understand general arithmetic and complex written and verbal instructions.
  • Strong written and verbal communication skills.
  • High attention to detail with the ability to plan, organize, and independently carry out tasks.
  • Understanding of data processing applications and proficiency with Microsoft Office, including Word and Excel.
  • Outstanding customer service experience required.
  • Experience with desktop applications such as Business Objects preferred.
  • High school diploma or GED and 4 years of experience in computer operations, data integrity, or quality control within a data processing environment.
Location: Crosstown (Onsite 5 days per week; may be re‑evaluated for potential hybrid eligibility after 6 months)
