Job Description
We are seeking a highly skilled and proactive Senior Administrative Assistant to provide high-level administrative and operational support to Executive Management, Senior Leaders, and departmental staff. This role is essential to ensuring smooth office operations, managing sensitive communications, and supporting strategic initiatives and special projects.
Key Responsibilities
Office & Administrative Management
- Oversee daily office operations to maintain a professional, organized, and efficient environment.
- Serve as the primary contact for incoming calls, delivering excellent service and directing inquiries appropriately.
- Foster a welcoming and productive office atmosphere.
Executive Support
- Manage calendars for senior leaders, including scheduling, conflict resolution, and logistics coordination.
- Arrange travel accommodations and itineraries for executives and staff.
Confidential Communication & Document Handling
- Handle sensitive and confidential information with discretion and professionalism.
- Sort, prioritize, and distribute incoming mail and packages, ensuring timely attention to urgent items.
Document Preparation & Data Management
- Draft, edit, and proofread correspondence, reports, forms, and presentations.
- Maintain and update both digital and physical filing systems.
- Accurately enter and manage data using Microsoft Office applications.
Technical & Operational Support
- Troubleshoot minor technical issues with office equipment and coordinate service requests.
- Assist in creating PowerPoint presentations, Excel spreadsheets, and departmental reports.
Event & Meeting Coordination
- Organize internal events such as staff lunches, retreats, and meetings.
- Coordinate logistics including catering, materials, agendas, and setup.
Financial & Procurement Support
- Process invoices, purchase orders, and expense reports.
- Maintain departmental expense tracking and budget spreadsheets.
- Order and manage office supplies and equipment, including onboarding materials for new employees.
Qualifications
- High school diploma or GED required; additional education or certifications in office administration preferred.
- 5–7 years of progressive administrative experience supporting senior leadership.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal communication skills.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple priorities and meet deadlines independently.
- Proven ability to handle confidential information with integrity.
This position will be based at our national executive office in Memphis, TN and will be in an in-office position.
