Job Description

The Specialist – Portfolio Data Management provides tactical and strategic support to frontline fundraisers across the Relational vertical, including Gift Planning, Partnerships, Sports, New Business Development, Employee Engagement, and Multi-Cultural teams. This role ensures accurate portfolio management and data integrity across donor systems, enabling impactful fundraising efforts for ALSAC and St. Jude Children’s Research Hospital.

Key Responsibilities:

Portfolio & Data Hygiene Management

  • Serve as a tactical partner to Relational teams, ensuring compliance with portfolio maintenance guidelines and best practices.
  • Maintain donor data accuracy across systems, including the donor management system and collaboration tools, to support fundraising goals.

Donor Management System (DMS) Operations

  • Provide intermediate-level support for DMS tasks such as engagement plan updates, bequest confirmations, donor account merges, donor and gift research, reassignment of donors, interaction uploads, and deceased donor processing.
  • Troubleshoot DMS-related inquiries, including “My Fundraiser Page” and general prospect questions.

Charitable Gift Annuity & Proposal Support

  • Collaborate with fundraisers to create and approve Charitable Gift Annuity calculations and proposals using financial software.
  • Handle sensitive donor information with discretion and maintain deep knowledge of giving vehicles (e.g., securities, CGAs, IRAs, trusts) and tax acknowledgment processes.

Donor Relations & Communication

  • Deliver exceptional service to donors via phone, email, chat, text, and social media.
  • Build and maintain donor relationships, resolve inquiries, and support fundraising initiatives with professionalism and empathy.
  • Manage mail merges, document storage (electronic and physical), and paperless file efforts.

Data Integrity Strategy & Reporting

  • Organize and facilitate data integrity sessions in partnership with the Sr. Specialist – Data Operations.
  • Use intermediate Tableau skills to help fundraisers visualize and interpret donor data through dashboards and reports.

Event Support

  • Serve as a technical resource for Relational-sponsored events such as Donor Appreciation Luncheons and Virtual Gatherings.
  • Manage RSVP processes and coordinate pre-event, day-of, and post-event logistics.

Cross-Team Collaboration

  • Partner with the Prospect Development team and other Relational units to streamline donor data processes and support territory alignment.
  • Promote best practices across collaboration and engagement tools.

Training & Onboarding

  • Support onboarding of new frontline fundraisers and assist in delivering internal training programs.
  • Communicate process updates and maintain documentation of procedures and best practices.
  • Represent ALSAC and St. Jude Children’s Research Hospital with professionalism and integrity in all interactions.

Qualifications:

  • Strong organizational and communication skills with the ability to manage multiple priorities and navigate complex situations.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Adaptability to evolving technologies, systems, and organizational structures.
  • Minimum of 2 years of experience in data operations and/or customer service.
  • Ability to understand and follow complex verbal and written instructions.
  • Clear and effective written and verbal communication skills.

This position will be based at our National Executive Office in Memphis, TN and be eligible for hybrid work.
