Job Description
Responsible for creating registration best practices and conducting continual improvement of internal processes specific to managing virtual, onsite, and hybrid registrations and projects. Primary responsibilities include building registration sites, leveraging event specific technology throughout the project lifecycle and acting as a liaison between travel vendors, hotels and donors. Must have experience managing travel, hotel room blocks, invoice processing/reconciliation and contracts including tracking and maintaining year over year venue holds to secure space 5 years out. Maintains master services agreements with travel and hotel vendors and must have the ability to manage several concurrent complex projects and troubleshoot potential issues that would impact donor experience.
ESSENTIAL JOB FUNCTIONS:
1. Responsible for negotiating hotel contracts for ALSAC events based in Memphis and as needed for the territories. Maintains annual rolling hold document to ensure that space is reserved 5 years in advance for annual events. Manages hotel relationships in the Memphis area.
2. Serve as the on-site / off-site registration manager -- responsible for coordinating registration, transportation and hotel room blocks. Excellent communication and interpersonal skills, including the ability to speak with all levels of guests, vendors and colleagues. Keen attention to detail and efficient problem-solving skills. Donor facing skills required.
3. Use project management skills to complete registrations in a timely fashion and within brand standards. Creates timelines, templates and registration best practices for the organization. Oversee and documents registration progress, keep stakeholders informed throughout the planning process and provide detailed reporting for executive leadership and vendors. Works with event lead and planners to create a seamless registration area. Able to communicate complex ideas to business partners. Guides event lead on the best registration options for their event. Maintains registration playbook, check-list and ensures business continuity for the registration platform.
4. Coordinates with legal, vendors, CMS and leadership to negotiate and complete Master Service Agreements with event vendors. Responsible for contract management and invoice reconciliation to ensure terms, conditions and costs are in alignment with our contractual agreements.
5. Operates within internal event software and has working knowledge of systems such as Confluence, Contracts 360, SharePoint, Smartsheet, OneNote and mural. Researches and stays current on registration platform updates for continual improvement. Monitors donor feedback to make adjustments to optimize their experience.
6. Understands the need for continual improvements and enhancements to met the growing demands of the now economy. Identifies and defines product improvements and enhancements as they pertain to needs and overall deployment.
7. Uses coaching and leadership skills to educate event leads on how to best leverage registration solutions and functionality. Drives platform adoption and offers industry best practices to help event hosts effectively meet their business goals.
Requirements
• Assists others and can help plan, assign and schedule, review work and ensure quality standards, train staff and overseeing their productivity. May offer recommendations for hiring, termination and pay adjustments, but does not have responsibility for making these decisions
• Operates with latitude for un-reviewed action or decision. Decisions may require developing or applying best practices, standards or guidelines
• Problems are highly varied, complex and often non-recurring; require novel and creative approaches to resolution. New concepts and approaches may have to be developed
• Performs duties within scope of general ALSAC policies, procedures and objectives. Analyzes problems and performs needs assessments. Uses judgment in adapting broad guidelines to achieve desired result. Regular exercise of independent judgment within accepted practices
• Makes recommendations that affect policies, procedures and practices. Refers exceptions to policy and procedures to the supervisor.
• Working knowledge of ITS procedures to create registration and event app back-end processes and technology improvements
• Advanced experience in Microsoft tools (Excel & PowerPoint) required
• Bachelor’s Degree and 5-8 years relevant experience required.
• Smartsheet, SharePoint, Oracle and Tableau experience needed
• CVent, Wufu, Zoom and Passkey knowledge preferred
• Certified Meeting Planner (CMP), Project Management Professional (PMP), Event Professional Certification helpful
