JOB SUMMARY
We are seeking an organized, proactive Administrative Assistant to support daily office operations and serve as the primary backup for our Executive Assistant. In this role, you will manage standard clerical tasks while cross-training on executive support duties. You will step in seamlessly to assist senior leadership when the primary EA is out of the office, traveling, or managing high-priority projects.
JOB RESPONSIBILITIES:
- Executive Backup: Step in for the Executive Assistant during absences to handle executive calendars, urgent requests, and confidential communications.
- Calendar Support: Assist with scheduling meetings, coordinating internal coordinates, and managing calendar conflicts.
- Travel Coordination: Help book flights, hotels, and ground transportation, creating detailed itineraries for leadership when needed.
- Expense Management: Prepare, track, and submit monthly expense reports for designated team members and executives.
- Office Operations: Greet visitors, answer main phone lines, check/sort/distribute mail, and maintain digital and physical filing systems. Assist EA and HR with employee engagements and updating standard office procedures to ensure Best Practice in a cross-functional work environment.
- Meeting Preparation: Format presentations, print meeting materials, set up conference rooms, and take detailed meeting minutes.
- Training: Complete ProLift Specific, Regulatory and Identified Equipment training through our internal LMS system and 3rd party vendors. Attend internal and external workshops to learn new software to improve efficiency as needed.
- Industry knowledge: Actively pursue information on the company, customers, and competitors, and products to ensure alignment with work culture. Learn and promote our core values.

Required Qualifications:
- Experience: H.S. diploma and associate degree for an administrative assistant professional, with 2–4 years of administrative and clerical office support experience.
- Tech Skills: High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) or Google Workspace.
- Communication: Strong written and verbal communication skills with a professional demeanor.
- Problem-solving: Be proactive in maintaining meticulous attention to details to elevate workplace efficiency.
- Discretion: Proven ability to handle sensitive corporate information with complete confidentiality.
- Adaptability: Flexibility to shift priorities quickly when stepping into the executive backup role.
Preferred Qualifications:
- EA Familiarity: Previous experience directly supporting a manager or assisting an executive team.
- Tools: Familiarity with expense management software (like Concur or Expensify) and calendar management tools
Education:
- High School diploma or equivalent.
