Service Coordinator

Job Summary: We are seeking a detail-oriented and organized Service Coordinator to join our team. The ideal candidate will be responsible for managing, processing, and coordinating work orders efficiently to ensure the timely completion of projects and tasks. This role requires excellent communication skills, strong attention to detail, and the ability to work collaboratively with various teams.
Key Responsibilities:
Work Order Management:
- Receive, review, and process incoming work orders, ensuring accuracy and completeness. Candidate would be responsible for sourcing pertinent details and inputting data into the internal ERP system.
- Maintain an organized system for tracking work order status; including following up with various departments to complete tasks and provide input in a timely manner.
Coordination and Communication:
- Collaborate with internal departments and external vendors to ensure the timely completion and invoicing of work orders.
- Act as the main point of contact for staff regarding work order inquiries, providing updates and resolving issues as they arise.
- Coordinate schedules with customers and communicate updates as necessary, per the direction of the Field Managers and Account BDR.
Billing:
- Create, process, and submit customer invoices as work orders are completed and costs are reported.
- Track purchase order amounts and invoices in various customer vendor portals.
Documentation and Reporting:
- Maintain accurate records of work orders, including status updates, completion times, and resource allocation.
- Prepare regular reports on work order activity, time reports and technician utilization.
- Generate maintenance reports per customer requirements and request. Reporting requires communicate with the field team to gather and compile work completion notes and media.
Support Process Management:
- Maintain customer work order management portals by updating information as required for individual work orders and yearly updates
- Complete pre-qualification packets for customers as requested.
- Process customer survey requests on a weekly basis.
Qualifications:
- Bachelor’s degree (preferred).
- Proven experience in a coordination or administrative role, preferably in facilities management, service operations, or a similar environment.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with work order management software (IFS experience is preferred).
- Ability to work independently and collaboratively in a fast-paced environment.
- Problem-solving mindset with the ability to adapt to changing priorities.
