Position: Brokerage Specialist – Office Team
Reports To: Principal
Hours: 40/week

Position Summary:
The Brokerage Specialist will provide operational and marketing support to a high-performing office team focused on representing institutional and private property owners. This role combines project coordination, client communication, market research, and marketing execution to drive the success of listing assignments and leasing initiatives.
The ideal candidate will be highly organized, proactive, and comfortable managing multiple priorities across multiple assets and clients. This position offers exposure to all aspects of office leasing strategy, including market positioning, deal tracking, and client reporting.
Responsibilities:
- Support brokers in preparing proposals, pitch materials, and RFP responses.
- Coordinate with the design team to prepare and update property marketing materials, including flyers, offering memorandums, digital campaigns, and listings.
- Complete and coordinate market surveys to gather data on market trends, including rental rates, vacancy rates, and property availability.
- Prepare deal files and legal documents, including confidentiality agreements, leases, contracts, listings, closing documents, etc.
- Manage contact information and communication strategies for broker and client lists, including inputting data into tracking databases.
- Schedule and coordinate property tours, client meetings, and follow-up communications.
- Communicate with client on behalf of broker to request necessary information
- Manage timelines and deliverables in response to client requests
- Respond to listing inquiries and quote rates
- Maintain and organize team materials, templates, and digital files.

Experience:
- Bachelor’s degree
- 3+ years of business experience
- Proficiency in Microsoft Office Suite; experience with CoStar and CRM systems a plus.
- Tennessee real estate license preferred or willingness to obtain within 90 days of hire.
Physical Requirements
- Involves work of a general office nature typically includes extended periods of sitting and/or operation of a computer for up to 8 hours a day
- In-person work required
